St. John’s Parish Administrator Position
Job Summary
St. John’s Parish Administrator supports the Rector and the Vestry by coordinating and executing the operational areas of the parish office, which includes administrative, communication, and general office management responsibilities. The Parish Administrator’s support enables the Rector and Vestry to carry out their ministries in the parish.
The Parish Administrator coordinates community relations, including established members, newcomers, community leaders, and the general public. Therefore, the Parish Administrator must be welcoming to all, as well as an excellent internal and external communicator. This position requires a high level of organization and the ability to critically evaluate and prioritize multiple tasks and projects. Finally, this position requires leadership ability as the Parish Administrator is directly responsible for the planning and supervising of all office volunteers.
Qualifications
• Administrative Experience: 2 years (preferred)
• Project Management: 1 year (preferred)
• Ability to maintain confidentiality
• Must pass background investigation to comply with church requirements
• Experience in office administration, communications, staff support, or related
area(s) are desired.
Pay and Benefits
• $21.00 per hour
Schedule
• Monday through Thursday, 10:00am - 4:00pm

Essential Duties
Overall Leadership
• Be the public face of St. John’s for all who call or enter the church
• Display courtesy, respect to staff, volunteers and to the public.
• Delegate achievable tasks to office volunteers with clear communication
• Practice strict confidentiality when it comes to sensitive issues in the parish
• Regularly maintain set office hours and practice dependability
• Be a team leader on St. John’s staff
• Support the Rector and Vestry, exercising flexibility as to tasks and projects to be completed
• Respond to requests for information which come via email, telephone, and in person visits
• Attend the monthly staff and communications meeting
• Maintain and manage the parish calendar
• Maintain and update all parish records
• Coordinate with vendors as delegated by the Rector and Wardens
• Produce rosters, correspondence, and other documents
• Sort and distribute incoming mail
• Maintain employment records in a secure location
• Submit parochial report to the diocese in a timely manner
• Assist with the coordination of lectionary and ministry schedules, including sending reminders to those scheduled
• Maintain and update communication platforms, such as the parish website, social media pages, and printed materials
• Design and distribute the monthly parish newsletter
• Assist with preparing and distributing congregational communications, such as pastoral letters, holiday mailings, fundraising appeals, and stewardship campaign materials
• Create public facing marketing information
• Create and print leaflets for Sunday services, special services, and for all special events.
• Gather leader reports for the Annual Parish Meeting, and assemble them into the official published report
• Promote the use of the Realm to the congregation, and help parishioners sign up and participate in that connection program
• Create, execute, and maintain all lease and building-use agreements
• Organize and manage church parking
• Organize the Parish Hall, ensuring all items are in their proper place
• Coordinate with the Youth Director regarding the use of the church van
• Tour the church building and campus weekly, taking note of any issue that requires follow-up
• Organize and manage the parish’s custodial and landscaping needs, as well as
provide support to the Jr. Warden in regard to parish repair projects
Liturgy Support
• Assist with preparing and proofing worship materials and bulletins for Sunday
morning and other services.
• Prepare flower donations information, assist with the coordination of lectionary and ministry schedules, sending reminders as scheduled.
• Provide assistance with tracking the liturgical calendar and planning for church
events, as needed.
